Please read these Terms of Service carefully before using PaperRoute. By accessing our website, using our free tools, or subscribing to the PaperRoute platform, you agree to be bound by these terms. If you do not agree, please do not use our services.

1. About us

PaperRoute is a software product developed and operated by Saunders Simmons Ltd, a company registered in England and Wales, with its principal place of business in Yeovil, Somerset.

References to "PaperRoute", "we", "us", or "our" in these terms refer to Saunders Simmons Ltd.

2. Definitions

  • "Website" — paperroute.co.uk and all pages hosted on it.
  • "Free Tools" — the Waste Transfer Note (WTN) Generator, Certificate of Destruction (CoD) Generator, and Hazardous Waste Consignment Note (HWCN) Generator available at no charge on our website.
  • "Platform" — the PaperRoute subscription software accessible to paying subscribers.
  • "User" — any individual or organisation accessing the Website or Free Tools.
  • "Subscriber" — any individual or organisation with an active paid subscription to the Platform.

3. Free tools — terms of use

3.1 Permitted use

Our Free Tools are provided for your own lawful business or personal use to generate compliance documents (Waste Transfer Notes, Certificates of Destruction, and Hazardous Waste Consignment Notes). You may use the documents generated for their stated legal purpose.

3.2 Your responsibility for accuracy

The documents generated by our Free Tools are only as accurate as the information you provide. You are solely responsible for ensuring that all details entered are correct, complete, and comply with applicable UK law (including the Environmental Protection Act 1990, the Waste (England and Wales) Regulations 2011, and the Hazardous Waste (England and Wales) Regulations 2005).

We do not verify the information you enter. A document generated by our tools does not constitute legal advice.

3.3 No warranty

The Free Tools are provided "as is" without warranty of any kind. While we take reasonable care to keep the tools up to date with current UK legislation, we do not guarantee that the generated documents will meet every regulatory requirement in every circumstance. You should seek independent legal or regulatory advice if in doubt.

3.4 Prohibited use

You must not use the Free Tools to:

  • generate fraudulent, misleading, or illegal documents;
  • create documents on behalf of a third party without their knowledge and consent;
  • scrape, automate, or otherwise extract data in bulk;
  • reverse-engineer, copy, or redistribute the tools commercially;
  • attempt to circumvent any security measure on our website.

4. PaperRoute platform — subscription terms

4.1 Eligibility

The Platform is intended for use by businesses operating in the United Kingdom. You must be at least 18 years of age and have authority to enter into a binding contract on behalf of your organisation.

4.2 Subscriptions and payment

Subscription fees are as published on our Pricing page at the time of sign-up. All prices are quoted exclusive of VAT unless stated otherwise. Payment is due monthly or annually in advance depending on your chosen plan. We reserve the right to update pricing with at least 30 days' written notice to active subscribers.

4.3 Cancellation

You may cancel your subscription at any time. Cancellation takes effect at the end of your current billing period. We do not provide pro-rata refunds for unused portions of a billing period unless required by law.

4.4 Data on termination

On termination of your subscription, you may request an export of your data within 30 days. After that period, we reserve the right to delete your data, subject to our legal retention obligations.

4.5 Acceptable use

You must use the Platform only for lawful purposes and in accordance with all applicable UK waste management regulations. You are responsible for ensuring that all users within your organisation comply with these Terms.

5. Third-party integrations

5.1 QuickBooks Online

The Platform offers an optional integration with QuickBooks Online, an accounting product of Intuit Inc. If you choose to connect a QuickBooks account to PaperRoute:

  • You must hold a valid, active QuickBooks Online subscription in your own name or on behalf of your organisation. PaperRoute does not provide or resell QuickBooks licences.
  • Your use of QuickBooks through this integration is subject to Intuit's Terms of Service in addition to these Terms.
  • We access your QuickBooks data (invoices, customers, payments, vendor bills) solely to provide the PaperRoute service features you use. We do not use this data for any other purpose.
  • You can disconnect the integration at any time via PaperRoute Settings → Integrations → QuickBooks. On disconnection, stored authentication tokens are immediately revoked and deleted.
  • We are not responsible for any disruption to the QuickBooks integration caused by changes to Intuit's API, suspension of your QuickBooks account, or expiry of your QuickBooks subscription.

QuickBooks® is a registered trademark of Intuit Inc. PaperRoute is an independent software product and is not affiliated with, endorsed by, or sponsored by Intuit Inc.

6. Intellectual property

All content on the PaperRoute website — including text, graphics, logos, software code, and the document templates used by our Free Tools — is the intellectual property of Saunders Simmons Ltd or its licensors and is protected by UK and international copyright law.

You may not copy, reproduce, distribute, or create derivative works from any part of our website or tools without our prior written consent.

Documents you generate using our tools (WTNs, CoDs, HWCNs) belong to you. We retain no claim over the content of those documents.

7. Limitation of liability

To the maximum extent permitted by law, Saunders Simmons Ltd shall not be liable for:

  • any loss or damage arising from your use of or reliance on documents generated by our Free Tools;
  • any regulatory penalties, fines, or legal proceedings resulting from incorrect or incomplete compliance documents;
  • any indirect, consequential, special, or punitive loss;
  • loss of profit, revenue, data, goodwill, or business opportunity;
  • any interruption or unavailability of the Website or Platform.

Nothing in these Terms limits our liability for death or personal injury caused by our negligence, fraud or fraudulent misrepresentation, or any other liability that cannot be excluded by law.

For the Platform, our total aggregate liability in any 12-month period shall not exceed the total subscription fees paid by you in that period.

8. Service availability

We aim to provide a reliable, high-availability service but do not guarantee uninterrupted access. We may carry out maintenance, updates, or emergency work that temporarily affects availability. We will endeavour to give reasonable advance notice of planned downtime.

9. Privacy

Your use of our Website, Free Tools, and Platform is also governed by our Privacy Policy, which is incorporated into these Terms by reference.

10. Changes to these terms

We may update these Terms from time to time to reflect changes in our services or applicable law. Material changes will be communicated to Subscribers by email with at least 14 days' notice. Continued use of our services after the effective date constitutes acceptance of the updated Terms.

11. Governing law

These Terms are governed by and construed in accordance with the laws of England and Wales. Any disputes arising under or in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
